Associate Director- Property Management and Compliance – Job Description

This company is the leading partner for investors and overseas landlords who spread the complexities of management of their residential investment assets across international markets. With overseas landlord specialists based across the globe with operations in 13 markets with offices in London, Manchester, Berlin, Hong Kong, Birmingham and Liverpool.

Job Profile:

As part of the company’s commitment to developing our team and customer service levels, they are

 looking to appoint an Associate Director to oversee our Residential Property Management, Client Accounting and Compliance teams for London operation.

The successful candidate will be required to directly manage 2 Property Management Teams covering North and South Thames regions, a Compliance Team and our Client Accounting function for London. The department in London which currently manages in excess of 800 properties throughout the Capital and the surroundings.

Purpose: To develop and grow the business through well-motivated teams, give effective leadership and be accountable to the Managing Director for results and people whilst complying with the companies procedures and policies at all times.

Key responsibilities include:

• To embrace the company vision and values and ensure these are embedded in everything we do.

• To recruit high quality staff at all levels to provide continuity of customer service

• To build and maintain strong relationships with our sister Company, IP Global and other Group divisions.

• To maintain high team morale, develop staff and provide on-going and effective coaching, training and feedback

• To maximise the overall income and profitability of your office and achieve budgeted income, profit and other targets set by MD.

• Ensure KPIs are achieved including rent arrears targets, tenancy renewals are achieved in line with company standards, compliance in terms of gas and electrical safety, suppliers and clients are paid in a timely manner and a high standard of customer service is delivered throughout

• Review processes to ensure operational efficiency and compliance in terms of critical health and safety matters

• Communicate regularly with other departments to ensure issues/problems are dealt with swiftly and effectively providing the highest level of service for our clients

• To hold effective meetings/ calls with your team to collate data, share information and motivate staff

• Conduct regular and effective 1-2-1’s with direct reports in order to develop staff and achieve team targets

• Monitor the weekly and end of month performance and identify areas for improvement

• To calculate and pay all staff commissions in line with timescales set by the Finance team

• Prepare annual budget and monitor the monthly P&L

• To manage staff holidays to ensure appropriate cover in branch at all times and monitor sickness and illness and arrange cover where necessary

• Conduct annual performance reviews and prepare personal development plans for team

• To ensure that all staff are thoroughly conversant with the Health & Safety Policy in order to avoid putting themselves and others at risk

• To ensure that all complaints are dealt with under the Company Complaints Procedure

• To ensure that the overall presentation of the office is maintained to reflect the professional image and profile of the company

Requirements

• At least 5 years experience in residential AST property management

• ARLA Level 2 qualification as a minimum

• Experience in managing multiple teams across different disciplines

• Ability to problem solve and multi-task

• Successful track record of managing people and influencing skills

• Strong interpersonal, written and oral communication skills

• Clear analytical and data gathering skills

• Exceptional complaint handling abilities

• Ability to work in a dynamic and changing environment

• Desire to exceed expectations and drive positive change in the organisation
