My client is a large property services company who act as representative for a large number of Landlord companies. They are seeking an Asset Transactions Administrator to join their growing team based in Central London. I am seeking a junior candidate who wants to grow and develop with this company.

The duties of the Asset Transactions Administrator will include, but not be limited to:

  • Respond to initial enquiries where leaseholders have expressed an interest in extending their lease/purchasing the freehold title
  • Answering enquiries from solicitors/surveyors
  • Instruct firms of solicitors to formalise the process to completion and oversee the progress of each case.
  • Where possible assist with producing valuation figures for sign off.
  • Instruct solicitors/surveyors to protect the owning company position when S42 notices/1967 Act claims/S13 claims are received
    To provide instructions for counter-notice/bottom-line/settlement figures
  • Oversee the progress of each case to completion once terms are agreed.
  • Liaise with 3rd party managing agents to provide them with bottom-line figures/settlement figures/counter-notice figures where they are trying to agree terms with a leaseholder on a formal basis
  • Liaise with 3rd party managers who submit development proposals or requests for freeholder consent which attract a premium
  • Produce an analysis in order to assess whether what is proposed is in line with freeholder requirements
  • Liaise internally to obtain approval of proposed settlement premiums
  • Working alongside external companies to approve wayleave agreements relating to fibre optic cabling, phone masts, etc.
  • Maintain accurate computerised and manual records.
  • Produce accurate information and reports for weekly/ monthly meetings.
  • Participate in team, departmental and corporate project and planning processes as required.

The ideal candidate will have:

  • Experience in the residential property sector
  • Strong attention to detail
  • Ability to work in a varied and demanding role with appropriate supervision.
  • Ability to work to strict deadlines and be organised and efficient
  • Demonstrable experience and ability to use ICT packages i.e. Microsoft Word and Excel.
  • Able to show an understanding of and commitment to good customer care.
  • Able to show an understanding of and commitment to property services and managing Landlord and Tenant relationships.
  • Professional legal training
  • Understanding of legal conveyancing process
  • Knowledge and understanding of legal requirements of leasehold agreements and those relating to the transfer and mortgage of Leasehold and Freehold property.
  • Experience in dealing with Land Registry titles and requisitions
  • Experience in dealing with solicitors, conveyancers and surveyors
  • Knowledge and experience of using Qube Property Management System
