Deverell Smith are searching for a Head of Operations on behalf of a leading Build to Rent operator. This will be a 6 months maternity cover.

You’ll be the person who runs the operations team, with responsibility for the strategic management of the rental portfolio. From planning the delivery of new assets, deploying (and evolving) approved systems to ensure they run smoothly, to managing the team of site-staff (they’re Property Managers, colloquially known as “Bobs”) with the help of Area Property Managers.

The role is based in a dynamic environment and we don’t want to be too set in stone about what you have to do, but the key areas of responsibility are:

Delivery of Excellent Asset Management

It is growing into a major portfolio, and its backers expect us to provide an exemplary Asset Management Service. You will be responsible, together with the Asset Manager and support teams, to deliver relevant aspects of Asset Management from planned maintenance scheduling to monthly investor reporting. The role includes:

  • Maintaining systems to cover bringing new asset into service
  • Ensuring full Planned Maintenance schedules are in place and budgeted (including replacement of white goods, furniture packs, carpets etc)
  • Negotiating with contractors where appropriate
  • Ensuring all Health & Safety obligations are met
  • Carrying out monthly inspections of each asset with APM
  • Ensuring management is delivered within budget and on time

Collecting the Rent

This is vital to the financial objectives. You will:

  • Actively manage the rent payment and collection strategy
  • Exceed the Rent Collection KPI
  • Manage late payments and Debt Recovery

Managing the Financial Performance of the Portfolio

  • Key to the success, you will be responsible for overseeing the financial performance of each property in the portfolio and:
  • Ensuring Operating Expenses remain inside budget
  • Collating returns every month on financial performance for each property
  • Working with the Head of Sales to deliver target reversions and meet/exceed KPIs
  • Provide combined property report data to Finance Manager / Asset Manager
  • Oversee Capital Expenditure as appropriate

Inspections and Service Requests/Maintenance of Property

You will carry out a monthly inspection of each property to ensure:

  • Each property and its grounds are in good order and clean
  • All maintenance & repairs are completed satisfactorily and within time parameters
  • All planned maintenance has been carried out as scheduled and within budget
  • Liaise with Development Manager to deliver Defects Strategy and Planned Maintenance schedule (and budget) for all new assets

Managing the Property Manager team/Continuing Education

Our team of APMs and Bobs are essential to our success. You will lead the team, developing their skills and enabling them to deliver a high quality service. You will:

  • Aim to be the Market Leader
  • Oversee ongoing career development training for all team members
  • Organise all staff training as required on new or unfamiliar systems
  • Review and implement the delivery of better business practices as appropriate
  • Identify and implement training goals for each employee
  • Carry out appraisals and one to ones to monitor performance

Public Relations/Crisis Management

Aims to keep a positive public profile, but there will be times that managing a difficult situation is vital. You will:

  • Create and update policies and SOPs
  • Organise and deliver proactive employee training for crisis management
  • Manage Health and Safety on all sites and attend the TVHA Health and Safety Committee
  • Oversee the RPM’s management of all complaints, and ensure they are rectified within the prescribed time limits

Other

Assisting the Managing Director in developing and growing the brand. This will involve being a brand ambassador with investors, helping with new business pitches, and evaluating new opportunities.

Carrying out such other duties that are within the capacity of this role as and when required by the Managing Director

This role would be suited to someone with Regional/ Multi Site experience within the Build to Rent, or Student Accommodation market.
