My client are a commercial retail agency based in Central London and Surrey seeking an Office Manager. The role would be based in the London office working for the Retail Agency team and the Investment team. They need a candidate who can be flexible and provide both secretarial and general office manager duties. Candidates need to be well presented, reliable, capable of prioritising and taking initiative.

Responsibilities:

  • General secretarial duties to include:
    • Typing correspondence, reports, schedules – 50-60wpm should be sufficient
    • Answering the main telephone, transferring calls, taking messages
    • Diary management / arranging meetings
    • Greeting clients and showing them into meeting rooms
  • Arranging travel (generally trains, flights and hotel rooms)
  • Running the Propex investment online introductions system – making introductions, keeping feedback up to date. Training will be provided on this.
  • Producing town maps on Promap as required.
  • Interaction with third party databases the business subscribes to.
  • Liaising with brochure designers to produce new marketing brochures for the Agency and Investment teams as required.
  • Arranging photography of retail parks for aforementioned brochures.
  • Arranging letting boards on retail parks as required.
  • Assisting in the compliance with relevant legislation, to include:
    • The new Anti-Money Laundering Regulations. This will involve assisting with obtaining ID information from AML checks and keeping accurate, up-to-date records of information we currently hold.
    • Researching and keeping up with new legislation, e.g. the new Data Protection Regulations
  • Keeping the website up-to-date via the online Content Management System.
  • General running of the office, ensuring stationery and kitchen supplies are well stocked, reporting day-to-day office problems to the managing agents and any ad hoc duties required.
