Our client is a leading privately-owned investment and property management company operating in key locations throughout Europe. Based in Westminster, they are looking for an ambitious, confident and energetic individual to join their rapidly growing company as a PA. They are looking for someone who isn’t afraid to go above and beyond, whether that be changing the photo-copier to answering the telephone to organising the daily duties of the Asset Managers.

  • Computer literate – confident Excel/Word user
  • Enthusiastic and proactive – a genuine team player
  • Flexible, with a “muck in” attitude – happy to turn your hand to any task
  • Bright and intelligent – able to take on responsibility and work on own initiative
  • The ability to build, develop and maintain working relationships
  • Able to plan and manage busy workload

Overview of duties:

  • Answering telephones
  • Dealing with tenants – leaks/broken washing machines/queries etc, arranging access for viewings/landlord inspections/insurance inspections
  • Typing – letters/memos/emails/reports etc
  • Checking emails when managers are out of the office – dealing with where possible
  • Diary management
  • Ensuring investment and management reports are collated/bound/copied
  • Quarterly bank reports
  • Completing rent review memos
  • Tenant notification forms – new tenants/renewals/rent reviews/vacations – reading leases
  • Liaising with utility companies/councils to ensure correct bills
  • Liaising with contractors to deal with tenant issues, ongoing maintenance works, ensuring sites are well maintained
  • Travel bookings
  • Arranging meetings (tenants/agents/other surveyors)
  • Managing the workflow/invoices
