We are working with a globally established professional services and investment management firm specializing in real estate.

This role is to support the Sales team and will require a Secretary or Administrator, who ideally has previous property experience. The successful candidate will be reporting directly to the Sales Manager.

Duties include, but not limited to:

  • Provide support to the Sales and Lettings Teams
  • Developing and maintaining effective working relationships with clients and colleagues.
  • Database management – uploading properties to our in-house database, including writing descriptions when necessary. Ensuring all standard and legal information is collected before a property goes live.
  • Obtaining vendor ID and running AML checks via the online verification system
  • Organising photography/floorplans/EPCs/brochures for new instructions
  • Producing property details and sales & letting lists, keeping the window up to date with sales & lettings
  • Using the system to upload property details to websites and portals.
  • Attend to emails, mails and messages from clients and colleagues, and telephone liaison; answering and making calls on behalf of the team.
  • General office duties including, maintaining accurate electronic and paper filing, archiving, document scanning and typing of reports, letters, faxes, etc.
  • Using in-house database to manage all sales; generating letters and memorandums of sale and sending documentation to the relevant parties
  • Website monitoring for Sales and Lettings properties, ensuring properties are displaying correctly
  • Managing the Sales filing system, updating accordingly and archiving completed sales
  • Collating information for monthly fees and the Sales Forecast/KPIs/Weekly Deal Tracker
  • Producing and sending invoices
  • Discreet handling of sensitive and confidential information
  • Tagging keys
  • Running expenses and recording accurately
  • Mail-outs, including obtaining address from the Land Registry
  • Assisting with Lettings administration when required
  • Organising post (incoming and outgoing)
  • You may be required to undertake other duties from time to time as we may reasonably require

The successful candidate should have:

  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Proven administration and organisational skills.
  • A confident and proactive approach to work.
  • Excellent telephone manner accompanied by strong interpersonal skills to deal with a wide variety of people and clients.
  • Accurate typing

For the right candidate the company will pay a generous salary of £30,000-35,000 pa for a 12 month FTC.
