I have an opportunity available with an established Property Company based on Bond Street who are looking for a Team Administrator. This company specialises in Property Management and needs a competent and experienced Administrator to join their team.

As part of this role you will be responsible for maintaining the smooth running of the office, and being the go-to person. It is important that you are highly organised, confident and have some prior administration experience. Knowledge of property would be highly beneficial, but not essential for the role.

Location: Bond Street
Hours: 9am – 6pm (Mon – Fri)
Salary: £20,000 – £25,000

Main responsibilities:

  • Maintain Trackers (Uploads Schedule) – creating subfolders and saving information correctly when notification of a new deal is received.
  • Storing information correctly in inboxes and folders. Ensuring data integrity of folders and sub folders.
  • Checking, validating information and emailing wider team and externals to resolve discrepancies.
  • Follow up on tasks and arrange next steps.
  • Working within timeframes and liaising with the other departments to ensure they are aware of what stage the entire process is up to and what their obligations are at that stage.
  • Supporting and helping to organise the team with current and future projects.
  • Liaising with various departments throughout the company via email and telephone communication.
  • Ensure data integrity for all information saved on database, and within folders. Identify versions of documents correctly.
  • Review Land Registry title documents
  • Read leases, and ensure information is recorded correctly.
  • Effectively communicate, through presentation, verbal and written mediums.
  • Updating team procedures in line with compliance and best practice;
  • Liaising effectively and efficiently with other stakeholders.
  • Ability to follow up on projects and ensure that projects are kept running.
  • Record information accurately/ Data Entry.
  • Customer Services: working from the shared inboxes to liaise with leaseholders, managing agents, solicitors and other stakeholders.
  • Working under pressure to meet KPI’s.
  • Working independently and as part of a team.

Experience:

  • At least 1-2 years of Administration experience within a professional company
  • Property experience would be highly beneficial
  • Highly organised and adaptable
  • Solid experience using Word and Microsoft office
  • Professional phone manner
  • Pro-active attitude
