Job Purpose

To assist and help lead on operational and financial performance of a residential property portfolio through undertaking void inspections, site inspections, contractor meetings, and assisting with data analysis. There will also be scope to assist with lettings, for which commission is available at an agreed rate on interview. Being out on-site is a key part of the role.

Ensure performance and service level agreement targets are met whilst complying with statutory, contractual and client requirements.

To effectively help manage, alongside the Portfolio Manager, the delivery of all property management services within the business area for London Clients

To continuously improve Management Services and manage expectations of our key client(s)in London. Reporting in to the Portfolio Manager(s).

Key Accountabilities

· Support Portfolio Manager on maintenance, repairs, contractor management and inspections for our largest London Client.

· Working with Senior Managers to deliver the client's business plan objectives and meet agreed service levels

· Monitor portfolio for urgent Health and Safety issues and visit units with pressing issues

· Working proactively with designated client(s) to agree strategy for each asset and to implement agreed strategic plans.

· Regular liaison with the wider team to ensure working practices meet with Client Requirements

· Support Lettings lead with viewing/ Right to rent checks/void management and inspections of rental units

· Support Portfolio Manager with Asset register and PPM register -updated in line with company policy and client reporting requirements at all times

· Develop in the role as you experience each area of the business

· Develop a detailed knowledge of the properties and local lettings markets

· Assist in negotiations where applicable and agree rental amounts with client/internal colleagues before approval

· Ensure a high level of Health & Safety compliance is maintained across the portfolio, including helping managing contracts with third party advisors and block managers - specifically our largest London Client

· Oversee progress of regular inspections of void and tenanted properties subject to client requirements

· Support in preparation of planned maintenance programmes and arrange service contracts across the portfolio, re-tendering regularly to ensure good value, working with the Residential Block Manager & designated client

· Ensure effective contractor management to ensure good value and quality in liaison with the wider team

· Ensure that issues and problems raised by the client, tenants or third parties are dealt with promptly and effectively.

· Support the Portfolio Manager and/or Assoc Director in managing the client relationship

· Prepare and present high quality reports with good analysis of operational and financial data - in support of reports managed and produced by Assoc Director and Portfolio Manager

· Assist Portfolio Manager in identifying areas of weakness in performance - troubleshooting to improve results and streamline service delivery.

· Identifying potential cost savings

· Meet regularly with designated client(s) to deliver operational performance commentary & background

· Liaise with the client over the integration of new properties into the portfolio as required, ensuring management systems are implemented correctly, liaising with the Director and other internal departments

· Assist senior members of the team with Ad-hoc projects

· To undertake regular meetings with internal colleagues and resident's alike
