Job description

My client is a leading real estate agency specialising in residential property sales, lettings, and property management services in South West London. They are currently seeking a highly organised and proactive individual to join their team as an Office Administrator / Tenancy Progressor. This role presents an exciting opportunity for someone with excellent administrative skills and a passion for delivering exceptional customer service within the real estate industry.

Responsibilities:

  1. Office Administration:
    • Manage the day-to-day administrative tasks of the office, including answering phones, responding to emails, and handling correspondence.
    • Maintain office supplies and equipment, ensuring availability for daily operations.
    • Assist with scheduling appointments, meetings, and property viewings for clients and staff.
    • Assist with booking in photography and floorplans, EPCs etc.
  2. Tenancy Progression:
    • Oversee the tenancy progression process from start to finish, ensuring a smooth transition for both landlords and tenants.
    • Liaise with landlords, tenants, and third-party service providers to facilitate the tenancy agreement process, including referencing, contracts, and inventory checks.
    • Coordinate property inspections, check-ins, and check-outs, documenting findings and ensuring compliance with relevant regulations.
  3. Customer Service:
    • Provide excellent customer service to clients, addressing inquiries and resolving issues in a timely and professional manner.
    • Act as a point of contact for landlords and tenants, maintaining positive relationships and ensuring their needs are met throughout the tenancy process.
  4. Database Management:
    • Maintain accurate records and databases related to property listings, tenancy agreements, and client information.
    • Update property portals and websites with current listings and relevant information.
  5. Compliance and Documentation:
    • Ensure compliance with relevant laws, regulations, and industry standards related to property management and tenancy agreements.
    • Prepare and review tenancy agreements, ensuring accuracy and adherence to legal requirements.

Requirements:

  • Proven experience in office administration or a similar role, preferably within the real estate industry.
  • Strong organisational skills with the ability to multitask and prioritise tasks effectively.
  • Excellent communication and interpersonal skills, with a customer-centric approach.
  • Knowledge of property management and tenancy agreement processes is desirable.
  • Proficiency in Microsoft Office Suite and experience with database management systems.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Attention to detail and a proactive attitude towards problem-solving.
