Job Purpose

To assist and help lead on operational and financial performance of a residential property portfolio(s) through maximising lettings & rent collection, minimising voids and managing expenditure. Maintain regular dialogue with the client to ensure their expectations are being met.

Ensure performance and service level agreement targets are met whilst complying with statutory, contractual and client requirements. This includes but is not exclusive to: Reporting on accurate number of repairs/ SLA's achieved and proactive contractor management for our largest client in London.

To effectively help manage, alongside the Associate Director, the delivery of all property management services within the business area for London Clients

To continuously improve Management Services that meet budget targets and client expectations.

Key Accountabilities

  • Lead on maintenance, repairs, contractor management and inspections for the company's largest London Client.
  • Working with Senior Managers to deliver the client's business plan objectives and meet agreed service levels.
  • Monitor portfolio-based KPIs for Health & Safety Compliance, Lettings, Voids, Customer service, Expenditure and Credit Control - with the support of the Assoc Director
  • Working proactively with designated client(s) to agree strategy for each asset and to implement agreed strategic plans.
  • Assist with designated client, third party & internal audits.
  • Line Management of Assistant Portfolio Manager(s) where defined in structure
  • Regular liaison with the wider company team to ensure working practices meet with Client Requirements
  • Ensure Asset register and PPM register are updated in line with company policy and client reporting requirements at all times
  • Develop the Assistant Portfolio manager(s) by providing operational feedback and supporting in HR functions as required.
  • Develop a detailed knowledge of the properties and local lettings markets
  • Assist in negotiations, evaluate and provide lease and disposal recommendations to the client, in conjunction with Director
  • Ensure a high level of Health & Safety compliance is maintained across the portfolio, including managing contracts with third party advisors and block managers - specifically our largest London Client
  • Oversee progress of regular inspections of void and tenanted properties subject to client requirements
  • Monitor preparation of planned maintenance programmes and arrange service contracts across the portfolio, re-tendering regularly to ensure good value, working with the Residential Block Manager & designated client
  • Ensure effective contractor management to ensure good value and quality in liaison with the wider team
  • Ensure that issues and problems raised by the client, tenants or third parties are dealt with promptly and effectively.
  • Monitor and manage all risks associated with the portfolio on behalf of the client, including reputation.
  • Where required, manage client-led portfolio wide exercises, ensuring that potential fee income is maximised at all times.
  • Support the Director in managing the client relationship
  • Prepare and present high quality reports with good analysis of operational and financial data
  • Assist Assoc Director in Identifying areas of weakness in performance, troubleshooting to improve results and streamline service delivery.
  • Identifying potential new fee opportunities and cost savings
  • Meet regularly with designated client(s) to deliver operational performance commentary & background.
