Job description

Key Responsibilities:

* Tender all site soft and hard service contracts annually or as required

* Determine and negotiate all contractor KPIs and service levels and ensure consistent standards across portfolio.

* Aim to enhance and standardise service levels across portfolio and liaise with site staff to ensure supplier KPIs are being met on site

* Review supplier contracts and address unfavourable or high-risk terms and clauses.

* Administer contracts in line with approval and sign off process for each asset and ensure

* relevant departments (i.e. Landlord Legal team, Group Compliance, etc) are involved at relevant stages of administration process.

* Supervise and manage all aspects of the contract procedure relating to the general operation of the assets and core services of the business.

* Identify and onboard new contractors and suppliers ensuring they meet contractor selection criteria and provide relevant documentation.

* Maintain online contract database and ensure all contract records and kept up to date.

* Work with Ops Manager and other departments to identify and negotiate national partnership/ portfolio level contracts.

* Obtain and keep all contractor documentation up to date including insurance, qualifications certification, accreditation, etc

* Establishing and managing business partnerships with contractors or other service providers and negotiate referral/commission

* Oversee and track ancillary income from the business partnerships

* Review all new low-value contracts and ensure amenable terms

* Oversee and manage utility procurement service provider to ensure all site utility contracts are in line with market value and in-contract.

* Monitor utility billing / expenditure across portfolio.

* Assist site General managers to implement any ESG strategies agreed at board level on site and track ESG performance of portfolio

* Provide assistance with litigation matters.

* Assist Corporate/Legal Counsel as necessary

* Evaluate and select vendors based on their information security practices

* Implement information security requirements in procurement process

* Conduct risk assessments for third party vendors to include information security
