Job description

Position: Residential Property Manager

Reports to: Senior Project Manager & Head of Department

Functional responsibility to: Residential Departments

Other regular relationships: Tenants, Clients, Suppliers

Overall purpose of the job: The Residential Property Manager ensures the seamless operation of the residential AST portfolio, consistently providing optimal advice to clients.

Primary Responsibilities:

  • Collect residential rent and pursue late payments using the Qube automated system.
  • Document all actions taken on late payments in Qube.
  • Complete and record residential check-out procedures promptly.
  • Maintain up-to-date Letting Compliance and Certificates, recording them on the server.
  • Assist with property viewings as required.
  • Attend regular property inspections.
  • Monitor tenancy renewals and communicate termination obligations to landlords and tenants within the designated time-frame.
  • Coordinate tenancy check-outs and notify the team of available properties.
  • Negotiate renewal tenancies on behalf of landlords.
  • Manage maintenance issues, liaising with contractors and tenants, and obtaining written authorisation from landlords before approving works.
  • Arrange deposit refunds or handle TDS disputes when necessary.
  • Organise all renewal documents, including AST agreements and certificates, updating relevant systems accordingly.
  • Approve invoices for payment upon landlord authorisation.
  • Ensure all services, maintenance contracts, and call-outs meet required standards, resolving any issues promptly.
  • Provide timely and appropriate advice to tenants with queries.
  • Contact tenants before their tenancy expires, noting their intentions in the system and informing the team.
  • Ensure all properties comply with current health and safety and licensing regulations, including HMO compliance.
  • Ensure outstanding bills are paid within appropriate timescales.
  • Verify utility bills and payment reminders in Qube, requesting missing invoices as needed.
  • Represent Atlas in a professional and respectful manner to clients, tenants, and suppliers.
  • Collaborate with internal team members and across departments as necessary.
  • Provide helpful communication and advice to Heads of Departments and Directors
