Job Overview: As a Lettings Administrator, you will play a crucial role in supporting our lettings team in the management of tenancy agreements and administrative tasks. You will be responsible for ensuring the smooth running of the lettings process, from initial enquiries to tenancy agreements and ongoing property management.

Key Responsibilities:

  • Handling incoming enquiries from prospective tenants and arranging property viewings.
  • Assisting with tenant referencing checks and ensuring compliance with relevant regulations.
  • Preparing and processing tenancy agreements, ensuring all necessary documentation is completed accurately.
  • Liaising with landlords and tenants to coordinate property inspections, maintenance requests, and tenancy renewals.
  • Managing the tenancy deposit scheme, including registering deposits and handling deposit deductions at the end of tenancies.
  • Conducting thorough property inventories and inspections, documenting any damages or required repairs.
  • Assisting with rental arrears management and coordination of legal proceedings when necessary.
  • Updating and maintaining accurate records using our property management software.
  • Providing excellent customer service to tenants, landlords, and contractors, addressing any queries or issues in a timely manner.

Requirements:

  • Previous experience in a similar administrative role within the property or lettings industry.
  • Strong organisational skills with the ability to prioritise tasks and meet deadlines.
  • Excellent attention to detail, ensuring accuracy in all documentation and correspondence.
  • Proficient computer skills, including experience with property management software and Microsoft Office applications.
  • Good knowledge of relevant legislation and regulations surrounding residential lettings.
  • Effective communication skills, both written and verbal, with a professional and customer-oriented approach.
  • Ability to work effectively as part of a team, collaborating with colleagues to achieve shared goals.
