The Resident Associate is responsible for supporting the Resident Manager in ensuring the smooth operation of the buildings and providing an optimal customer experience from move-in, all the way through to move-out. This will involve managing the resolution of all reported issues from residents. This role involves working front of house and will include a lot of resident interaction to enhance resident experience.<h2 class="text-xl font-bold text-text-100 mt-1 -mb-0.5">Key Accountabilities:</h2><h3 class="text-lg font-bold text-text-100 mt-1 -mb-1.5">Customer Service and Team</h3><ul ><li class="whitespace-normal break-words">Ensure full knowledge of apartment and communal area systems and operation in order to deliver customer service in line with company living standards</li><li class="whitespace-normal break-words">Assist the Events team when needed, to set up and present customer social events &amp; activities</li><li class="whitespace-normal break-words">Work closely with 3rd party suppliers/in-house departments (i.e. Night concierge, Leasing) supporting the Resident Manager deal with resident requests in line with departmental deadlines escalating more complex customer issues to the Resident Manager as necessary</li><li class="whitespace-normal break-words">Work closely with the Defects Resolution Team to ensure customer work orders are validated prior to reporting as defects during contractor warranty period, arranging contractor access as required</li><li class="whitespace-normal break-words">Delivering great customer service while adapting to customer/resident feedback to ensure we consistently strive to deliver on company living resident engagement targets</li></ul><h3 class="text-lg font-bold text-text-100 mt-1 -mb-1.5">Commercial</h3><ul ><li class="whitespace-normal break-words">Drive and promote ancillary revenue in line with company Living Targets (i.e. storage pods, lounge hires etc.)</li><li class="whitespace-normal break-words">Network and regularly interact with customers to build customer relations and confidence in order to aid customer renewals and generate referrals</li><li class="whitespace-normal break-words">Continually work with your Resident Manager to implement cost and time efficiencies to deliver on your P&amp;L targets</li></ul><h3 class="text-lg font-bold text-text-100 mt-1 -mb-1.5">Operational/Compliance</h3><ul ><li class="whitespace-normal break-words">Ensure cases received are acknowledged, actioned and closed out within agreed SLA</li><li class="whitespace-normal break-words">Support Resident Manager to collate data for weekly/monthly reports as required by the Operations Manager</li><li class="whitespace-normal break-words">Carry out daily inspections of development to ensure they are to standard and support the Development Manager with required health and safety compliance</li><li class="whitespace-normal break-words">Ensure that all move in's &amp; move out's are co-ordinated with the relevant living function and third parties</li><li class="whitespace-normal break-words">Enable all specialist contractor/3rd party company access to buildings as required in line with departmental procedures</li><li class="whitespace-normal break-words">Carry out daily and weekly checks keeping records to ensure apartments are always lease ready</li><li class="whitespace-normal break-words">Attend and carry out all required apartment inspections to deliver the required living expectations</li><li class="whitespace-normal break-words">Ensure post-PC snagging items are kept to a minimum and are dealt with in a timely manner</li><li class="whitespace-normal break-words">Complete all salesforce activity related to the customer/resident journey in line with the operational SOP's</li><li class="whitespace-normal break-words">Support the Resident Manager in the maintenance and admin of the development assets</li></ul><h3 class="text-lg font-bold text-text-100 mt-1 -mb-1.5">H&amp;S</h3><ul ><li class="whitespace-normal break-words">Ensure all matters relating to H&amp;S compliance are adhered to and reported where required, including statutory checks as directed by the Resident Manager</li></ul><h2 class="text-xl font-bold text-text-100 mt-1 -mb-0.5">General Accountabilities:</h2><ul ><li class="whitespace-normal break-words">Undertake additional relevant duties which fall under the general scope of the role, as directed by your Manager, raising any issues with capacity so they can be properly managed</li><li class="whitespace-normal break-words">Participate in the full year and half year Performance Development Review process as reviewer and reviewee, meeting the standards and timescales required by the Company</li><li class="whitespace-normal break-words">At all times ensure that your understanding and skill level regarding the Company's IT systems are up to date, as applicable to your role. Daily working hours are 7.5 hours per day. To chase and manage contractors or responsible parties accordingly to ensure jobs are completed within required SLAs and defects are also reported in line with defect reporting process. To escalate to superiors where repairs or defects are not undertaken within SLAs.Staff Management* Managing onsite staff (e.g. Concierge/admin staff), ensuring key day-to-day tasks are completed and daily handover undertaken.* Manage rota for onsite staff, arranging cover for annual/sick leave where requirement and submitting information for payroll* Arrange ongoing training for onsite staff and undertake annual performance reviewHealth &amp; Safety* Maintain 100% compliance for gas, electric, asbestos, FRAs, personal safety device usage, legionella testing.* Report near misses and incidents in line with business H&amp;S procedures.* Ensure all voids are H&amp;S compliant (i.e. ensure valid gas certificate, electrical safety cert, EPCs, smoke alarms).Budget Management* Approve invoices for all completed works to ensure contractors are paid swiftly on receipt of invoice.* Manage day to day expenditure to ensure it is in line with opex budget and draft budgets following stabilisation of asset.* Manage dilapidations and deposit deductions following check out inspection with assistance of lettings admin/onsite staff.* Creating a specification for void works, establishing costs and timescales for works.Lettings* Taking payments, rent, move in monies and fees, checking all deposits are registered.* Managing the lettings and offer process from end to end, including arranging and undertaking viewings and checking in appointments with customers and agents; handling multiple offers and confirming offer details to customers; conducting market research to identify local trends and market rents and taking action on all feedback after viewing to ensure required improvements are made. Ensure all our advertisements are up to date and refreshed on a regular basis.* Send completed deal sheets to Lease &amp; Contract Coordinator and assist in customer communications during referencing and deal progression.* Ensure property is let in a good condition (i.e. that it is clean and there are no outstanding repairs) and undertake check in inventory report.* Qualify applicants by ensuring customer conforms with right to rent requirements (checking ID in person and taking photographic proof), passing the proof to the relevant team members and starting the reference checks.* Dealing with tenancy surrenders, goods removal and vacating customers.
