Role Overview:
As the Sales Operations and Office Manager, you will oversee the smooth day-to-day running of the office. Your responsibilities include maintaining an organised, welcoming, and professional environment, acting as the first point of contact for visitors such as clients, contractors, and external partners.
Working Hours:
40 hours per week, Monday to Friday during standard business hours.
Key Responsibilities:
Reception & Walk-in Enquiries:
Greet and engage visitors, direct them to the appropriate team member, and gather contact details and requirements if you are managing reception alone.Office Maintenance & Housekeeping:
Ensure office essentials like lighting, stationery, and toilet supplies are maintained; report maintenance issues to management.Window Cards & Business Cards:
Keep window displays and business cards up-to-date for sales and lettings teams; maintain stock levels.Post & Mail:
Open and distribute mail daily.Keys Management:
Log, label, and track all keys, ensuring they are returned daily or noting their whereabouts; conduct weekly key audits and update records accordingly.Sales Support:
Assist the sales team with correspondence during deal progression; collect AML documentation from vendors and purchasers.Team Support:
Ensure on boarding and off boarding checklists are followed; update relevant documentation.Saturday Staff Coordination:
Prepare handover notes and special instructions for Saturday staff.Celebrations & Office Culture:
Organise birthday cards and coordinate cakes or flowers with management.Communication:
Use internal systems to keep management and colleagues informed; distribute relevant information before planned absences.Compliance & Training:
Follow company policies, undertake necessary training, and stay current with relevant legislation.Additional Support:
Assist with ad hoc tasks and support team objectives as needed.
