Hours: 8:am - 6:00pm, Monday to Friday
About the Role:
As a pivotal member of our team, you will deliver seamless operational and administrative support, ensuring the smooth running of our residential development sales activities. You'll coordinate international travel, manage client portfolios, oversee compliance processes, and be at the heart of our CRM and data management efforts. This role offers a unique blend of strategic support, client interaction, and internal operations, making it perfect for a proactive professional eager to thrive in a dynamic setting.
Key Responsibilities:
Office & Team Operations
- Keep the office running smoothly, managing daily operations and team activities
- Coordinate meetings, training sessions, and team initiatives
- Support diverse teams across residential sales, international markets, and property development
- Lead on boarding and training for new starters on Resiforce systems
Travel & Expense Coordination
- Arrange international travel (China, Taiwan, Turkey, etc.) using Navan and AMEX
- Assist with team expense reporting and reimbursements
Client & Portfolio Management
- Oversee property portfolios, ensuring timely updates and organising site visits
- Maintain strong client relationships and support property launches
- Keep all teams informed of updates and key client developments
Compliance & Systems Oversight
- Manage Thirdfort onboarding and compliance checks
- Conduct Anti-Money Laundering (AML) screening and payment processing
- Ensure adherence to the One Process standards and assist with complex cases
- Collaborate with Legal, Compliance, and Operations teams to improve processes
CRM & Data Management
- Manage CRM platforms (Resiforce and Salesforce), ensuring data accuracy
- Create dashboards for senior management insights
- Handle enquiries, update lead information, and coordinate lead rotations
- Keep introduction instructions current for international teams
Sales & Financial Administration
- Oversee reservation processes across key markets, ensuring compliance
- Process reservation payments and maintain client accounts
- Manage deal books and liaise with Operations on commissions
What We're Looking For:
- Exceptional organizational and multitasking skills
- Experience with international travel arrangements and expense management
- Strong understanding of CRM systems, preferably Salesforce and Resiforce
- Knowledge of compliance and AML procedures is a plus
- Excellent communication skills and a proactive attitude
- Ability to work collaboratively across teams and manage multiple priorities
