Our client is a private landlord with approximately 300 rental units spread across Yorkshire & the Northeast. It is predominantly a work from home role; however, the candidate will be expected to be on the road doing viewings, inspections and inventories 1-2 days a week. The properties are spread over a wide area so the candidate will need their own car and be comfortable driving relatively long distances (no more than 2 hours). Hours can be flexible if needed.

Key Responsibilities:

Lettings & Portfolio Management

  • Manage the full lettings process from initial enquiry through to tenant move-in, ensuring a smooth experience for applicants and efficient occupancy across the portfolio.
  • Conduct rental valuations using local market data and comparable properties to ensure units are competitively priced while maximising rental income.
  • Coordinate property viewings, manage applicant enquiries, and negotiate tenancy terms to secure suitable tenants.
  • Oversee the tenancy progression process including referencing, tenancy agreements, deposit registration, and move-in coordination.
  • Monitor void periods and implement strategies to minimise downtime between tenancies.
  • Conduct property inspections, inventories, and check-ins where required, ensuring properties are maintained to a high standard.
  • Maintain clear and professional communication with tenants, landlords, and contractors throughout the lettings process.

Property Marketing

  • Oversee marketing of available properties across major portals including Rightmove, Zoopla, and OnTheMarket etc
  • Ensure listings are accurate, well-presented, and include high-quality photographs and descriptions.
  • Monitor enquiry levels and listing performance, adjusting marketing or pricing strategies where necessary to maximise interest.
  • Coordinate viewings and follow up with applicants to convert enquiries into applications.
  • Maintain accurate availability records across marketing platforms and internal systems.

Compliance & Legislation

  • Ensure all tenancies comply with current UK lettings legislation including the Housing Act 1988, Housing Act 2004, Tenant Fees Act 2019, and Renters Reform Act 2026.
  • Ensure statutory documents are issued correctly, including EPCs, Gas Safety Certificates, EICRs, and the How to Rent guide.
  • Carry out Right to Rent checks and ensure deposits are registered with an approved protection scheme.
  • Oversee tenancy agreements, renewals, and notices while maintaining compliance with evolving legislation.

Reporting & Administration

  • Maintain accurate tenancy and compliance records using property management systems.
  • Produce regular lettings performance reports covering enquiry levels, applications, rents achieved, and void periods.
  • Monitor local rental market trends and provide insight on pricing and portfolio performance.
  • Support general administration including tenancy renewals, tenant communication, and record management

Person Specification:

We are looking for someone hard working, organised, proactive, a good communicator and used to working independently.

Essential

  • Minimum 2 years' experience in residential lettings
  • Strong knowledge of UK lettings legislation
  • Excellent negotiation and communication skills
  • Strong organisational and time management abilities
  • Full UK driving licence

Desirable

  • Propertymark qualification (ARLA Level 3 or above)
  • Knowledge of property management systems (e.g., Reapit, Inventory Hive, Open Rent, PayProp)
