Community Assistant
About the Role
We are seeking a dedicated Community Assistant to join our team in delivering exceptional day-to-day management of the property and its residents. Working collaboratively as part of a dynamic team, you will be responsible for marketing, building maintenance coordination, tenancy administration, and creating an outstanding resident experience to achieve occupancy and retention goals.
Key Responsibilities
Community & Resident Experience
- Work collaboratively with team members to deliver exceptional resident living experiences
- Create positive, memorable experiences for all residents
- Deliver comprehensive front of house services that anticipate and exceed resident expectations
- Respond professionally to customer queries and complaints, following established procedures
- Support and coordinate community events and activities
- Develop and maintain local knowledge resources relevant to resident needs (travel, entertainment, amenities)
Sales & Marketing
- Conduct property viewings and tours for prospective residents
- Follow up on enquiries and drive sales conversions
- Participate in marketing activities including open days and promotional campaigns
- Promote tenancy extensions and additional revenue streams
Administrative & Financial
- Complete administrative tasks including logging maintenance requests, filing, preparing notices, and updating databases
- Chase outstanding rent arrears in accordance with rent collection procedures
- Raise purchase orders following established procedures
- Process tenant refunds in a timely manner and in line with company policy
- Monitor and maximize efficiency of utilities
Operations & Compliance
- Establish and maintain relationships with university clients
- Assist with seasonal preparations including move-in and move-out processes
- Complete Health and Safety compliance activities in line with company policies and procedures
- Participate in on-call roster to provide out-of-hours emergency support for the community as required
Essential Requirements
Experience & Skills
- Significant experience in a customer-facing service delivery role
- Excellent customer service skills with a proven track record
- Strong team player with excellent relationship building and influencing abilities
- Ability to work autonomously, making decisions and taking action when required
- Fluent verbal and written communication skills in English
- Excellent organizational skills with ability to multi-task and prioritize effectively
- Strong numerical skills
- Cultural awareness with ability to adapt communication and negotiation styles to different audiences
- Flexible and adaptable approach to work, thriving in changing environments
- Enthusiastic about delivering exceptional experiences and continuously improving knowledge
Knowledge & Qualifications
- Good level of general education
- Proficient in Microsoft Office suite (Word, Excel, Outlook)
- Experience with databases and booking systems (training provided on in-house systems)
- Knowledge and understanding of UK Health and Safety requirements and legislation
