Personal Assistant to Managing Director & Team Coordinator
Our client are seeking a highly organised and proactive Personal Assistant to support the Managing Director while also playing a key role in coordinating activity across the wider team.
This is a varied position suited to someone who enjoys balancing executive support with hands-on coordination, keeping people aligned, and ensuring day-to-day operations run smoothly.
The role
You'll work closely with the Managing Director and senior team, acting as a trusted support and central point of coordination. From managing priorities and schedules to supporting reporting, projects, and team activity, you'll be instrumental in keeping everything on track.
Key responsibilities
Executive Support to Managing Director
- Provide dedicated day-to-day support, managing priorities and administrative needs
- Act as a first point of contact for communications and enquiries
- Handle confidential information with discretion
- Track actions, deadlines, and key deliverables
Diary & Meeting Management
- Manage a busy and ever-changing schedule
- Coordinate meetings across multiple stakeholders
- Organise logistics including venues, virtual links, and materials
- Prepare agendas, compile documentation, and take accurate minutes
- Ensure follow-ups are tracked and completed
Team Coordination
- Support the wider leadership team with coordination and administration
- Help align activity across departments and maintain visibility of priorities
- Assist with internal planning, communications, and organisation
Tender & Project Support
- Coordinate administrative aspects of tender submissions and business projects
- Manage timelines, gather input from contributors, and ensure deadlines are met
- Maintain clear records of documentation and communications
Reporting & Documentation
- Support the preparation of business and leadership reports
- Maintain trackers, documents, and reporting schedules
- Ensure information is accurate, well-presented, and accessible
Events & Logistics
- Arrange travel and itineraries for the Managing Director
- Support internal events such as team meetings, off-sites, and company gatherings
- Liaise with venues and suppliers to ensure smooth delivery
Systems & Process Support
- Use internal systems for diary management, documentation, and reporting
- Support expense processing and record keeping
- Contribute ideas to improve processes and efficiency
About you
- Proven experience in a PA, EA, or similar coordination role
- Strong organisational skills with excellent attention to detail
- Confident managing multiple priorities and stakeholders
- Clear and professional communication skills
- Discreet, reliable, and adaptable
- Comfortable working in a fast-paced environment
A degree or relevant qualification is advantageous but not essential.
