The Role
As Tenancy Specialist, you will take ownership of the end-to-end tenancy progression process, ensuring every transaction is handled with efficiency, accuracy, and professionalism. You will work closely with landlords, tenants, and the wider lettings team to deliver a seamless experience for all parties.
Key Responsibilities
Tenancy Application Processing
- Process new tenancy applications from agreed let through to move-in
- Co-ordinate and chase referencing checks, including credit, employment, and landlord references
- Liaise with referencing agencies and review outcomes, advising the team on ability to proceed
- Prepare referencing summaries and recommendations for approval
Compliance & Legal Documentation
- Ensure all mandatory compliance certificates are in place
- Issue statutory notices including the How to Rent guide, deposit information, and energy certificates
- Conduct Right to Rent checks and Sanctions checks for landlords
- Maintain accurate records of all compliance documentation and renewal dates
Tenancy Agreements & Documentation
- Prepare tenancy agreements and associated legal documents
- Co-ordinate execution of agreements by all parties, ensuring all terms are legally compliant
- Arrange inventory reports and check-ins
- Issue resident welcome packs and property handover documentation
- Manage mid-tenancy substitutions
Deposit Management
- Register deposits with approved tenancy deposit schemes within statutory time frames
- Issue prescribed information and deposit protection certificates to tenants
- Maintain accurate deposit records and handle deposit-related queries
Communication & Customer Service
- Keep landlords and tenants well-informed throughout the progression process
- Handle queries professionally and resolve issues efficiently
- Build strong relationships with all parties to ensure a positive move-in experience
Administration & Record Keeping
- Maintain accurate tenancy files and update CRM systems with all relevant information
- Ensure seamless handover to the Asset/Property Management team where applicable
- Track progression timescales and completion rates
- Review software and platforms to ensure the business is using best-in-class tools
What We're Looking For
- Previous experience in a tenancy progression, lettings administration, or similar role
- Strong knowledge of lettings legislation and compliance requirements
- Excellent attention to detail with the ability to manage multiple cases simultaneously
- Clear and confident communicator, both written and verbal
- Proficient with CRM systems and referencing/deposit protection platforms
- Proactive, organised, and committed to delivering an outstanding customer experience
