Temporary FM Helpdesk Co-ordinator - Immediate Start | Fitzrovia, London
We are recruiting on behalf of our client, a well-established property and facilities management business, for a Temporary FM Helpdesk Co-ordinator to join their team on an immediate, open-ended temporary basis, based at their head office in Fitzrovia. There is strong potential for this role to convert to a permanent position for the right candidate.
About the role
This is a hands-on, fast-paced position covering the day-to-day running of our client's FM Help desk across a portfolio of commercial office, retail and F&B properties. The team is currently mobilising Vantify CAFM (previously Elogbooks) across the estate, so experience with this system is a key requirement. You'll be the first point of contact for tenants, contractors and the wider FM team, keeping works orders moving and the help desk running smoothly.
Key responsibilities
- Managing help desk phone calls and emails, acknowledging and responding to queries promptly
- Assigning, tracking and filing works orders (PPM, reactive and quoted works)
- Key issue and return administration
- Coordinating with tenants, contractors/suppliers, Asset Managers and senior management
- Advising the Maintenance and Facilities team on raising and closing job requests
- Responding to emergencies or urgent issues as they arise, escalating where necessary
- Assisting with purchase orders, invoice processing and quarterly reporting
- Supporting Health & Safety compliance - supplier documentation, RAMS and work permits filed correctly
What we're looking for
- Minimum 1 year's FM experience
- Experience with Vantify CAFM (previously Elogbooks) essential
- Good IT skills, particularly Excel, Word and Outlook
- Proactive, organised, and calm under pressure - someone who tackles problems head-on
- A strong communicator, comfortable liaising with people at all levels
- A team player, flexible with hours and duties when needed
Hours & working arrangements
- 8:30am-5:30pm or 9:00am-5:30pm
- Fully office-based initially while training up
- Long-term, the role includes 1 day/week working from home
Contract details
- Temporary, open-ended - ongoing until our client secures a permanent hire
- Flexible on structure - day rate or hourly considered
- Genuine potential for temp-to-perm conversion for a strong performer after 1-2 months
