The Opportunity
This is a fantastic opportunity to join a flagship residential lettings branch in one of London's most beautiful locations, right at the southern end of Tower Bridge. This is a busy, transactional office at the heart of a well-established residential lettings business, and no two days will look the same.
We're looking for a bright, switched-on administrator who thrives in a fast-paced environment and enjoys variety in their day. You'll be supporting the full tenancy life cycle, from offer acceptance through to tenancy termination, working closely with a supportive and experienced team.
You'll report into the Head of Office and the Lettings Manager, with additional support from the Head of Residential Operations, who will meet with you monthly and quarterly to help you settle in and progress.
Key Responsibilities
Front of House
- Prepare and maintain property documentation, correspondence, marketing materials, and property records
- Manage property advertising across online portals and other marketing channels
- Provide administrative support to the Sales and Lettings teams, including diary management, arranging viewings, coordinating property photography, and handling enquiries via phone, email, and in person
- Oversee general office administration, including stationery and supplies, filing, archiving, post, and courier coordination
- Manage the collection, tracking, and auditing of property keys
- Act as the first point of contact for visitors and colleagues, delivering a professional, welcoming front of house experience
- Ensure the office is well presented, fully stocked, safe, and operational, carrying out regular checks and flagging any maintenance or health and safety issues
- Coordinate maintenance requirements with facilities and external contractors
- Assist with ad hoc projects and additional administrative duties as required
Offer Progression & Tenancy Setup
- Support the progression of tenancies from offer acceptance through to move in
- Issue tenancy agreements and supporting documents
- Coordinate referencing and Right to Rent checks
- Book compliance certificates and AML searches
- Book third-party services and check completion of the deal
- Register deposits
Compliance Coordination
- Ensure all properties are legally compliant prior to tenancy start, including EPC, Gas Safety Certificate (CP12), EICR, and Deposit Prescribed Information
- Arrange and track ongoing compliance certifications
- Maintain accurate compliance records and flag upcoming expiries
Move-In Support
- Coordinate check-ins and inventory reports
- Ensure all documentation is signed and completed
- Facilitate the key handover process
- Set up rent payments and tenant accounts
- Notify utilities and local authorities where applicable
Rent Arrears Management
- Monitor rent payments and maintain accurate records for non-managed tenancies
- Identify late or missed payments promptly and follow the internal arrears process
- Support financial reporting to landlords
- Follow the structured arrears process, including day one reminders and early intervention calls
- Support negotiation of repayment plans
- Issue arrears correspondence and notices as required
- Escalate serious arrears cases to the manager, including assisting with Section 8 notice preparation
- Maintain detailed arrears tracking
Rent Reviews & Section 13 Notices
- Support the rent review process in line with market conditions
- Liaise with lettings managers and landlords regarding rent increases
- Assist in negotiating revised rent with tenants
- Prepare and issue Section 13 Notices (Form 4) where required
- Track responses and tribunal referral outcomes where applicable
Ongoing Tenancy Support
- Act as a key contact for tenant and landlord queries
- Ensure continued legal compliance throughout the tenancy
Renewals
- Assist with the tenancy renewal process for NHA and company lets
- Prepare renewal documentation
Notice & Tenancy Termination Support
- Process tenancy notices, including tenant notice to vacate and support with Section 13 and Section 8 notices
- Track notice periods and ensure compliance requirements are met
Check-Out & Deposit Support
- Coordinate the check-out process
- Send inventory reports to tenants and landlords
- Support dispute handling through deposit schemes
Arrears Recovery & Bad Debt Chasing
- Support the lettings manager in chasing outstanding rent and fees, including statements and payment reminders
- Follow the structured escalation process
- Support recovery actions, including payment plans, debt collection referrals, and legal escalation
- Track and report on outstanding debt positions
Administration & Record Keeping
- Maintain accurate tenancy and property records
- Ensure documentation is compliant and audit-ready
- Produce reports on arrears, compliance, and tenancy activity
Skills & Experience
- Experience in lettings, property management, or administration is preferable but not essential
- Strong organisational and multitasking skills
- Confident communication and negotiation abilities
- High attention to detail, particularly around compliance and documentation
- Ability to handle sensitive matters professionally

Salary and small print
- Experience using property management systems such as Reapit, Radar, or Goodlord is desirable but not essential
- 2-stage interview process, held in person
- Immediate start available, ideal start date end of July to early August
- Monday - Friday 9am - 6pm (office based)
- 25 days holidays with a day accrued each year of service (max 30 days)
