Assistant Building Manager (12-Month Fixed Term Contract)

About the Role
We are working on behalf of our client, a well-established name in the private rented sector, to find an organised and customer-focused Assistant Building Manager for a 12-month fixed-term contract. In this role, you'll provide excellent administrative and support services to the Building Manager, while liaising with external customers, contractors, stakeholders, and internal teams.
This is a hands-on role in a busy property environment, ideal for someone who enjoys variety, takes initiative, and is keen to build a career in real estate and property management. What You'll Be Doing
- Supporting the Building Manager and leasing administration team
- Assisting the Lease & Contract Coordinator with deal sheets, especially during busier periods and new asset launches
- Supporting onboarding of new deals and renewals on the referencing system and relevant databases
- Ensuring customers pay holding fees (subject to pre-approved exemptions) during busy periods and launches
- Ensuring referencing, pre-move-in checklists, and check-out lists are completed accurately and on time
- Checking eligibility for renters who've opted into deposit replacement schemes, based on referencing outcomes and/or upfront payments
- Handling calls and email enquiries from prospective tenants and booking in viewings
- Conducting in-person property viewings
- Responding to ad-hoc renter enquiries via phone, email, or portal
- Logging and progressing reactive maintenance requests, keeping tenants updated throughout
- Liaising with contractors on day-to-day maintenance to ensure timely, quality work
- Supporting the Building Manager with chasing tenancy renewals
- Carrying out check-in and check-out inspections using inventory software, and flagging dilapidation issues to the Building Manager
- Assisting with instructing and managing end-of-tenancy works
- Carrying out tenant move-ins as required
- Liaising with contractors on planned preventative maintenance (PPM) works
- Providing general cover for Resident Hosts as needed
- Supporting the Marketing Team with resident community events
What We're Looking For
Essential
- Knowledge of real estate, with a genuine interest in learning more
- Excellent organisational skills and strong attention to detail
- Excellent written, verbal, and telephone communication skills
- Strong IT skills, including Microsoft Excel, PowerPoint, Outlook, and Word
- Experience managing conflicting priorities in a busy office environment
- Good time management and a proactive approach to your own development
- Confidence drafting clear written correspondence and documents
- A strong customer care ethos and understanding of property services
- Self-motivated, with high energy and enthusiasm
- A track record of taking ownership of your own actions and growth, with high integrity
- A genuine commitment to equality, diversity, and mutual respect
Desirable
- Administrative experience in the private rented sector
- Experience using Qube
