With particular expertise in the living sector, the business supports a varied portfolio of Residential, Co-Living, PBSA, Industrial & Logistics and commercial office schemes from its central London office.
The Role
As Team Coordinator, you will play a central role in keeping the Quality team and wider office organised and running smoothly. Working closely with the Quality Lead and Business Manager, you will coordinate diaries, organise site visits, support document management and assist with the day-to-day logistics of the business. You will also provide administrative support to the Directors, managing diaries, travel and meetings.
This is a varied and highly visible role, ideal for someone who thrives in a busy professional environment and can confidently juggle multiple priorities and stakeholders.
Key Responsibilities
Quality Team & Document Coordination
- Act as the key coordinator for the Quality team, working closely with the Quality Lead
- Manage team diaries and plan and organise site visits
- Arrange meetings, appointments and team commitments, liaising with internal and external stakeholders
- Ensure the team has the information and logistical support needed for site visits and meetings
- Support document management, including initial filing and distribution of company and project documentation
- Handle sensitive documentation with a high level of accuracy and attention to detail
Office & Director Support
- Report to the Office Manager, providing day-to-day administrative and operational support across the business
- Manage Directors' diaries, meetings, appointments and competing priorities
- Organise travel and accommodation, including flights and trains
- Book meeting rooms and support the smooth running of the London office
- Assist with meeting preparation, follow-up actions and general correspondence
- Proactively anticipate requirements and provide ad-hoc support as needed
About You
You will be organised, proactive and reliable, and enjoy being at the centre of a busy team. You will ideally have:
- Previous experience as a Team Coordinator, Team Assistant, Office Coordinator, PA, EA or in a similar role
- Excellent organisational and time management skills
- Strong attention to detail and the ability to manage several tasks at once
- Experience coordinating diaries, meetings and travel
- Strong written and verbal communication skills
- The confidence to liaise with senior stakeholders and external contacts
- Good IT skills, particularly Outlook, Word and Excel
- A willingness to learn and take ownership of new processes as the business grows
Experience within property, construction, engineering, consultancy or professional services would be advantageous.
