Salary: £28-35,000 depending on experience

The Opportunity

A growing project and development management consultancy is looking for a PA & Team Coordinator to join its team and provide a broad mix of PA, business support and operational coordination.

Working across some of the UK's most exciting residential, living and mixed-use developments, the business is continuing to grow and is looking for someone who can help keep everything organised and running smoothly.

This is a varied role with plenty of ownership. You'll work closely with the Founder and Directors, as well as the wider team, and will become a key point of contact across the business.

It's ideal for someone who is naturally organised, proactive and enjoys being the person who makes sure things get done.

The Role

PA & Business Support

  • Providing day-to-day support to the Founder and Directors, including diary management, meetings, travel and correspondence
  • Coordinating internal and external meetings, events and networking
  • Supporting presentations, documents, proposals and client follow-ups
  • Taking ownership of the monthly project invoicing process, working with Project Managers and Directors to ensure fees and additional services are captured and invoices are issued accurately and on time
  • Maintaining fee, invoicing and debtor trackers and supporting with cashflow visibility
  • Managing company compliance calendars, insurance, professional memberships, certificates and key renewals
  • Keeping staff qualifications, training and competency records up to date
  • Supporting audits, pre-qualification submissions and client compliance requests

Team Coordination & Operations

  • Acting as a central point of contact for the wider team
  • Organising team meetings, workshops, training, social events and internal communications
  • Supporting onboarding, probation reviews and other people-related administration
  • Helping maintain strong communication between the Birmingham and London teams
  • Managing company trackers, systems, subscriptions, suppliers and office requirements
  • Keeping internal processes, templates and filing systems organised
  • Looking for ways to improve and simplify how the business operates
  • Making sure actions and deadlines are followed through

Projects, Business Development & Marketing

  • Supporting fee proposals, tenders and capability documents
  • Keeping project sheets, case studies, CVs and company credentials up to date
  • Maintaining business development and opportunity trackers
  • Supporting networking and industry events
  • Helping with LinkedIn, website and wider company communications
  • Coordinating project, team and company news and encouraging the wider team to contribute
  • Working with external marketing and design consultants where required

About You

We're looking for someone who is organised, proactive and naturally takes ownership.

You'll be someone who:

  • Enjoys being busy and managing multiple priorities
  • Has excellent attention to detail and follows things through
  • Is confident communicating with Directors, colleagues, clients and consultants
  • Is comfortable working with invoices, numbers and financial information
  • Is professional, personable and discreet
  • Enjoys improving processes and finding better ways of working
  • Takes an interest in the wider commercial side of a business
  • Enjoys bringing people together and contributing to a positive team culture
  • Is confident using Microsoft Office, particularly Excel, Outlook, Word, PowerPoint and Teams

Previous experience in a PA, EA, Team Coordinator, Business Support, Operations or a keen interest in progressing in Real Estate role would be useful.

Experience within property, construction, consultancy or professional services would be particularly beneficial.
