Working closely with the Office Manager and wider regional teams, you'll help ensure the office operates seamlessly, creating a welcoming, efficient and well presented environment. This would suit someone who enjoys working in a high-end setting, takes pride in delivering outstanding service and is happy to get involved across all aspects of office operations.
Key Responsibilities

- Deliver a high standard of hospitality, providing attentive and discreet service to clients, senior stakeholders and VIP guests.
- Coordinate meeting room preparations, refreshments, internal events, partner visits and roadshows.
- Maintain an immaculate and well-presented reception area in keeping with the premium office environment.
Office Administration & Business Support
- Manage general administration, including document handling, scanning, filing, mail and courier management.
- Support the Office Manager with day-to-day operations, office supplies, stationery, pantry stock and administrative trackers.
- Assist with onboarding arrangements for new starters, including access cards, seating, onboarding materials and equipment.
- Coordinate basic IT requirements, log support requests and ensure meeting room equipment is operational.
Facilities & Supplier Coordination
- Liaise with building management and external suppliers regarding maintenance, cleaning, catering and other office requirements.
- Monitor office presentation, cleanliness and hygiene standards, ensuring the environment is consistently maintained to a high standard.
- Track office supplies, expenses and petty cash submissions, following up on outstanding requests as needed.
Wider Team Support
- Provide flexible support across departments, taking ownership of time-sensitive requests and adapting to changing priorities.
- Maintain staff lists, visitor logs and office records, handling confidential information with discretion.
- Work closely with the Office Manager and regional teams to ensure the smooth running of the office, particularly during busy periods.
About You
- 2-4 years' experience in reception, front of house, hospitality or office administration, ideally within a premium, luxury or professional environment.
- Fluent in English and Arabic, with excellent written and verbal communication skills.
- Experience dealing with high-net-worth individuals, senior stakeholders or high-profile clients would be advantageous.
- Professional, approachable and confident, with a strong understanding of discretion and confidentiality.
- Highly organised, reliable and able to manage competing priorities in a fast-paced environment.
- Proactive and adaptable, with a hands-on approach and a genuine passion for delivering exceptional service.
- Proficient in Microsoft Office and comfortable using digital systems and tools.
The Ideal Candidate
You'll understand the importance of anticipating needs, maintaining confidentiality and delivering a seamless, personalised experience. You'll take pride in the finer details, remain calm under pressure and be happy balancing a premium front-of-house experience with the practical administration needed to keep the office running smoothly.
